About this Position

Reporting through to the CEO, this newly introduced position will sit as part of the Executive Leadership Team and is being introduced to provide the extra support and structure the organisation needs as it enters an important growth phase. The position has been designed specifically to achieve the following strategic objectives: 

  • To increase the time the CEO has to work on strategic business growth initiatives;
  • To improve the flow of information and communications between the Leadership Team and the Board;
  • To establish and lead the CEO’s Office Team and it’s associated Business Administration function;
  • To manage the implementation of Performance Metrics across the business and to regularly report on the team’s performance to these;
  • To improve the quality of analytics and information available to the Leadership Team and to drive improvements in the organisation’s planning, forecasting and decision-making processes; and,
  • To improve the communication structures across the business.
  • To lead and further develop the Human Resources, Workplace Health & Safety, Risk Management and Knowledge Management Systems functions.

As the organisation grows so too will the level of complexity and responsibility associated with this position. To start out, as the sole person responsible for the CEO’s office and Business Administration function you’ll need to roll up your sleeves and execute tasks at all levels of the complexity scale. This will include less complex tasks at an Executive Assistant level supporting the CEO, through to more complex tasks that involve detailed analysis and leading important strategic projects.

To paint a clearer picture of how the role will look initially, a snapshot of the initial spread of tasks includes:

  • Scheduling meetings and managing the CEO’s calendar.
  • Coordinating travel arrangements for the CEO and for other members of the Leadership Team and evolving the procedures and partner arrangements around this;
  • Drafting, editing and distributing Board Updates, Board Papers, Board Memorandums and other Board communications.
  • Develop and implement the administrative structures and business systems required to ensure the CEO’s office and Business Administration functions are organised, efficient, accountable and compliant.
  • Partnering with each leader of the organisation’s four groups to develop and implement High Performance metrics for their respective business functions. As part of this, assisting each team to set goals and implement the tools required to regularly measure and report on their performance and effectively manage the associated continuous improvement processes.
  • Completing a range of detailed research, analysis and reporting tasks and projects [e.g. financial scenario analysis, contract risk assessments and the analysis of trends, gaps and cause-effect relationships].
  • Managing the Employee Engagement process and proposing and implementing strategies and action plans to increase engagement.
  • Developing and rolling out a HR Policies Manual, ensuring all the required policies are developed and maintained to comply with current legislation.

Additional Selection Criteria include:

  • Advanced level Thinking Processes – the role has a significant analysis, strategy and process development component;
  • Excellent verbal and written communication skills that enable you to interact confidently and effectively across all levels, both inside and outside the business;
  • Standout planning, organisation and project management skills underpinned by a naturally high attention to detail;
  • Well-developed technology skills – you’ll be using Microsoft Office, Google Suite, Slack, Atlassian (JIRA, Confluence), CultureAmp and also be involved with identifying additional technology solutions for the business; and,
  • A passion for collaboration, complex problem solving and continuous improvement.

Tertiary qualifications in Business, Information Technology and/or Law will be well regarded, however are not essential.
