Currently we are seeking an experienced Senior Administration / Office Manager for a renowned luxury racing organisation in Melbourne for a 6 month full time contract. 

The Senior Administration Manager will provide operational and administrative support to the key stakeholders including the CEO, Head Trainer and Assistant Trainer.

Reporting to the CEO, responsibilities include but not limited to:

  • Support the Head Trainer with all administrative tasks to ensure the effective and efficient running of the business 
  • Daily operational management of the office including ensuring adequate supplies and resources such as office equipment, stationery and furniture where required.
  • Principal point of contact for internal and external stakeholders; manage correspondence, answer and screen phone calls, greet visitors, respond to all enquiries in a prompt and courteous manner.
  • Prepare documents for correspondence, meetings, and other compliance related tasks relating to, diary management, schedule meetings and appointments
  • Project support by way of administrative tasks, including follow up stakeholders, field calls, manage correspondence, conduct research, prepare reports and presentations etc.
  • Manage resources for projects including staffing, tools, and equipment.
  • Liaise with suppliers, providers, and contractors to ensure expectations and outcomes are met; monitor accountabilities, set budgets and timeframes.
  • Design and implement office policies.
  • Supervise and coordinate key tasks with the Administration Assistant, as directed by the Head Trainer.

Key Skills & responsibilities for this role:

  • 10+ years of prior experience as an administrative/office manager or similar position within a similar environment (racing, sporting, events or hospitality businesses highly desirable).
  • Qualifications in business office administration (or related field) are highly desirable.
  • Excellent interpersonal communication skills and professional presentation. 
  • Exceptional administration management, project support, & customer service skills.
  • Excellent organisational, planning, and time management skills including working to deadlines, with attention to detail at all times.
  • Strong Microsoft Office skills including Word, Excel & PowerPoint.
  • Own reliable vehicle and Drivers Licence
