Your new company

A CBD based facility management organisation is seeking an experienced Mailroom and Facilities Coordinator to join their close knit team. This is an ongoing temporary role working as part of the facilities management team for the next 5 months.

Your new role

You will reconcile and check all office services and facilities related invoices, manage relationships with local suppliers and building management ensuring all issues are resolved quickly and thoroughly or escalated as required.

Reporting into a Facilities Manager onsite, this role is crucial to this particular site. You will receive and action all maintenance requests, coordinate the contractors and liaise with the tenants to ensure all requests are followed up.

This role places an emphasis on delivering quality customer service and requires professionally presented individuals to liaise face-to-face with all levels of management and clients onsite.

You will look after the purchasing of stationery, printing, couriers, catering and other general office supplies within company guidelines. You will ensure off-site storage is managed effectively and is tightly controlled as well as improve on procedures and processes for activities such as document storage, security management, front office processes, stationery ordering, maintenance etc.

You will ensure all repairs and maintenance issues are resolved efficiently and that the office is safe, secure and very well presented, ensure common areas and client areas are kept tidy and in working order. You will coordinate incoming and outgoing mail and courier deliveries, manage mail room function, including sorting and distributing daily mail.

What you'll need to succeed

You will be highly organised with an ability to take on multiple tasks with a high level of facilities management skills.

You will have excellent communication (both written & verbal) skills and good people management skills, with the ability to manage suppliers effectively and professionally.

You will have computer literacy with intermediate PC skills.
